HTML templates
A template is the print form of a document: WorkZeal uses it to assemble an invoice, act, or contract with your company details, the client's data, and the products. You can get your own template in one of three ways:
| Method | Who it suits |
|---|---|
| Take a ready-made template as a base and adjust it | almost everyone: no HTML knowledge needed, everything is done in the editor |
| Insert ready-made HTML code | the document has already been laid out in a third-party service |
| Order a template from us | you need a complex document and have no one to lay it out |
The number of templates is unlimited. Besides the HTML editor, there are two more builders: Stimulsoft, for framework documents with calculations, and Word, for documents whose text is rewritten every time.
What you can do
- Create your own document type
- Build a print form from a ready-made template
- Place tags, including tags for your custom fields
- Add a logo, stamp, and signature
- Insert your own HTML code
- Check the template on a document
- Order a template from us
Step 1. Open the documents directory
Open Settings > Directories > the Documents tab.

All document settings are gathered here:
| Block | What it contains |
|---|---|
| Document types and templates | document types and their print forms |
| Document statuses | the status directory; you can change statuses and add your own |
| Tax rates | VAT rates that are filled into document line items |
| Our company details | your legal entities and individuals on whose behalf documents are issued and payments are accepted |
| Bases and powers of attorney | the grounds on which the signatory acts, such as the articles of association or a power of attorney |
| Currencies | the currencies you sell in; the default currency must have its toggle turned on |
| Additional | other directories you have created for working with documents |
| Tags | tags for documents; each section of the application has its own tags |
You can also get to the templates from the document itself: in the window of a generated document, the gear opens the builder for its template, and the three dots open the list of all templates. Learn more in Printing and sending.
Step 2. Create a document type
Open Document types and templates to see the Document types list. The Template type column shows what the print form was built with: HTML, Word, or Document Generator (the Stimulsoft builder).

Click Add and fill in the Main tab:
| Field | What to enter |
|---|---|
| Short name | This is exactly what employees see when choosing a document type |
| Full name | The name that is filled into the print form |
| Prefix and Number suffix | If needed, see Document numbering |
| Warehouse mode | Makes the type a warehouse type, see Warehouse |
| Default products and services | Items that are added to every new document of this type |
Click Save. A print form can only be chosen for a saved type; until then, the Document print form tab asks you to add the type first.

In the list of types, each row has three toggles:
| Toggle | What it does |
|---|---|
| Enable | the type is available to employees when issuing documents; a disabled type is hidden from the selection |
| Invoice | the type counts as an invoice: documents of this type are used to bill clients |
| Warehouse | the type becomes a warehouse type, and posted documents move stock balances. Learn more in Warehouse |
Step 3. Choose a print form
Go to the Document print form tab. For a new type, you first choose the builder; for an HTML template, this is the HTML editor.

Then click Choose a ready-made: the Create based on panel opens on the right with the standard templates: Invoice, Act, Quote, Contract, VAT invoice, Delivery note, UTD, Advertising consent. Take the one you will base your own on, or Blank if you are laying it out from scratch. The last tile is Order your own template, see Order a template from us.

Step 4. Edit the template
Next, the template is edited right in the editor: you change the text, fonts, and tables and place tags. A tag is a placeholder in curly braces that is replaced with a value when the document is issued: company details, name, date, amount. The A4 button above the editor sets the page format. When everything is ready, click Save and close.

All available tags open via the Tag list button, in the Variable values window. The tags are sorted into groups: Document, Custom field in documents, Custom field in clients, Custom field in deals, Based on, Responsible, Our company details, Individual details, Legal entity details, Products and services, Products and services, list items. Each row has a description and the variable itself; there is a search, and the Excel button exports the whole list.

Tags are also created for the fields you have added yourself. They are in the same list, in the Custom field in documents, Custom field in clients, and Custom field in deals groups. You can add your own document field right in the document card, on the Additional tab. Learn more on the Custom fields page.
If the contract needs an individual client's full name in the correct grammatical case, fill in the declension on the Additional tab of their details, see Client details.

Note
If you have several companies with different company details, create separate templates for each: the two invoices will have different logos, their own specifics, and their own sequential numbering.
Logo, stamp, and signature

The logo, the stamp, and the manager's signature are not inserted into the template as images. They are attached once to the company details, and tags are placed in the template instead. After that, the images are inserted automatically, both on the screen and in the print form.
Open Settings > Directories > Documents > Our company details, choose the company details, and go to the Files and images tab. Attach the images to the fields with the paperclip and click Save.

Each field has its own tag:
| Field in company details | Tag for the template |
|---|---|
| Company logo | {logo_company_own__tag} |
| Company stamp | {stamp_company_own__tag} |
| Manager's signature | {signature_company_own__tag} |
There can be several sets of company details, and each of your companies has its own logo, stamp, and signature. A document gets the company details with the Use by default toggle turned on, or the ones selected on the document's Company details tab. Learn more on the Company details page.
Your own HTML code
You can also insert ready-made HTML code into a template: copied from another of your templates or laid out in a third-party service.
Open the template and click <> in the editor toolbar: the Source Code window opens with the HTML code. Delete the unnecessary code, paste your own, and click Save, then Save and close. Tags from the Tag list also work inside the HTML code.

Check the template
- Issue a document of the required type or open one that has already been issued, see How to issue a document.
- Click Generate: the document is assembled from the new template.
- If you then edit the template or the document card, click Refresh in the panel of the generated document; it reloads without being reopened.

A document based on an HTML template opens with a formatting toolbar: you can adjust the text of that particular document right here without touching the template itself.
The finished document is sent to the client as a link, printed, or exported to PDF, Word, Excel, and other formats, see Printing and sending.
Order a template from us
This is a paid service provided by our team: templates based on ready-made ones and complex templates from scratch. Send the document to support@workzeal.com in the form you want to receive it, and our specialists will estimate the timeline and cost.
